Using Overlays

What is an Overlay?

An overlay is text and/or images stored in the computer hard
dis k driv e (H DD) as a s pecia l file form at th at ca n be p rint ed on
any do cu ment. O verlays are o ften used to take the pla c e o f
preprinted forms and letterhead paper. Rather than using
preprinted letterhead, you can create an overlay containing the
exact same information that is currently on your letterhead. To
print a letter with your company’s letterh ead, you do n ot need
to load preprinted letterhead paper in the printer. You need only
tell the printer to p rint the le tter hea d overlay o n y o ur
document.

Creating a New Page Overlay

To use a page overlay, you must create a new page overlay
containing your logo or image.

Create or open a document containing text or an image for
use in a new page overlay. P osition the items exactly as
you w i sh th em to appear when pr in ted as an overla y.

To save the document as an overlay, access printer
properties. See “Printing a Document” on page 13.

Click the
Extras
tab, and click
Edit
button in the
Overlay
section.

In t he E d i t Overlay wind ow, click
Create Overlay
.

In the Cr eate Over lay w i n dow, type a name of up to eigh t
characters in the
File name
box. Select the destination
path, if necessary. (The default is C:\Formover).

Click
Save
. The name ap pe ars o n the
Overlay List
box .

Click
OK
or
Yes
to finish crea ting .
The file is no t pri n ted . Instead it is stored on your
computer hard disk drive.

: The overlay d ocume nt size m ust b e the sam e as the
docume nts you print with the overlay. Do not create an overlay
with a w ate rm ark.

Using a Page Overlay

After an overlay has been created, it is ready to be printed with
your document. To print an overlay with a document:

Create o r op en the documen t you wan t to p rint.

To change the print settings from your software
application, access printer properties. See “Printing a
Document” on page 13.

Click the
Extras
tab.

Select the desired overlay from the
Overlay
drop-down
list box.

If the overlay file you w an t d o es n o t ap p ear in the
Overlay
list, click
Edit
button and
Loa d Over lay
, and
select the overlay file.
If you have stored the overlay file you want to use in an
external source, you can also load the file when you access
the
Load Overlay
window .
After you select the file, click
Open
. The file appears in the
Overlay List
box and is available for printing. Select the
overlay from the
Overlay List
box.

If necessary, click
Confirm Page Overlay When
Printing
. If this box is checked, a message window
appears each time y o u submit a d o cume nt for printing,
asking you to confirm your wish to print an o verlay on your
document.
If this box is not checked and an overlay has been
selected, the overlay auto matically prints with your
document.

Click
OK
or
Yes
until printing begins.
The selected overlay downloads w ith your print job and
prints on your document.

OTE
: The resolution of the overlay document must be the
same as th at o f the do cu m ent you w ill print with th e overlay.

Deleting a Page Overlay

You can delete page overlays that you no longer use.

Extras
tab.

Edit
button in the
Overlay
section.

Select the o verlay yo u w ant to delete from th e
Overlay
List
box.

Click
Delete Overlay
.

When a confirm ing messa ge w indow ap pears, click
Yes
.

Click
OK
until you exit the Print window.
