Chapter 6

Here are some tips for creating or changing Calendar events on your Pocket PC OS device so that they sync back to your desktop as smoothly as possible:

To create a Lotus Notes All Day Event, create an Appointment and set Type to All Day.

To create a Lotus Notes Anniversary, create an Appointment and set set Type to All Day and set Occurs to Every <month> <date>.

To create a Lotus Notes Appointment, create an Appointment with no Attendees.

To create a Lotus Notes Meeting, create an Appointment and add Contacts to the Attendees field.

To create a Reminder, create an Appointment with the Starts date/ time equal to the Ends date/time.

Remember that information in the on-device Location field never updates any other fields in Lotus Notes when the event syncs back to the Lotus Notes desktop; if this field contains information for Rooms and Resources fields in Lotus Notes, all the information goes into the Lotus Notes Location field.

Remember that information in the on-device Notes field never updates any other fields in Lotus Notes when the event syncs back to the Lotus Notes desktop; if this field contains information for Attendees, Rooms, and Resources, all the information goes into the Lotus Notes Description field.

When you accept a Lotus Notes invitation for a meeting, do not delete the invitation from your Inbox — that will prevent the Calendar entry from syncing to your devce.

Tip If you have your Calendar sync Action set to Synchronize the files and you create or modify events on the device:

Any time you create appointments on your device, or modify or cancel appointments synced from Lotus Notes, any invitees to the appointment are not automatically notified when the information syncs to Lotus Notes. To notify invitees, open the event in Lotus Notes and click the Save and Send Invitiations button.

You can avoid many potential problems with repeating events by never modifying the repeat rule for the series on your device.

Any events on the device that span midnight are truncated at 11:55PM when they sync back to Lotus Notes.

When editing the Status on repeating events on your device, make changes only at the individual event level, not at the series level.

In a custom repeating series of events that repeat on consecutive days, do not shift the date of each event in the series by one day — one or more of the events will sync back to Lotus Notes with an incorrect date.
