ManagingE-mail Messages and FoldersEach e-mail account and SMS account has its own folder hierarchy with
fivedefaultfolders:Inbox,Outbox,DeletedItems,Drafts,andSentItems.
The messages you receive and send through the mail account are stored in
these folders.You can also create additional folders withineach hierarchy.
The Deleted Itemsf oldercontains messages that were deleted on the de-
vice. The behavior of the Deleted Items andSent Items folders depends on
the Inbox options you have chosen.
The behavior of the foldersyou create depends on whether you are using
ActiveSync,SMS,POP3,orIMAP4.
SIf you use ActiveSync,
e-mail messages in the Inbox folder in Outlook automatically sy nchro-
nize with your device. You can select to synchronize additionalfolders
by designatingthem for ActiveSync. The folders you create and the
messagesyou move are then mirrored on the server. For example, if you
movetwomessagesfromtheInboxfoldertoafoldernamedFamily,
and you have designatedFamily for synchronization, the server creates a
copy of the Family folder and copies the messages into that folde r. You
can then read the messageswhile away from your desktop.
SIf you useSMS,
messages are stored in the Inbox folder.
SIf you usePOP3
and you move e-mailmessages to a folder you created, the link is broken
between the messageson the device and their copies on the mail server.
The next time you connect,the mail server sees that the messages are
missing from the deviceInbox and deletes them from the server. This
prevents you from having duplicatecopies of a message, but it also
means thatyou no longer have access to messages that you move to fold-
ers created fromanywhere except the 700 Color Computer.
SIf you use IMAP4,
the foldersyou create and the e-mail messages you moveare mirrored
on the server. Therefore, messagesare available to you anytime you con-
nect to your mailserver, whether it is from your 700 Color Computer
or desktop. This synchronization of folders occur s whenever you con-
nect to your mailserver, create new folders, or rename or delete folders
when connected.
For all accounts except ActiveSync, you can access folder options by tap-
ping Tools >ManageFolders.
